WhatsApp reminders: choosing the timing that cuts no-shows

niia can remind clients the morning of their appointment, or 24 or 48 hours before. Here's how to choose, and why the reply matters as much as the reminder.

Many no-shows aren't people deciding not to come. They forgot, or their plans changed and cancelling felt like a hassle. A reminder fixes the first. Making it easy to reply fixes the second.

Why WhatsApp works for reminders

Your clients already booked with you on WhatsApp, so the reminder lands in the same chat as their booking. They don't need to find an email, open an app or call during opening hours. And if they need to change something, they can just reply.

The three timings

Choose one in Settings → Appointment Reminders. It applies to every booking.

The morning of

The reminder goes out early on the day of the appointment. This is niia's default.

  • Good for: short services, regulars, and clients who book close to the day.
  • Trade-off: if someone cancels, you have only hours to fill the gap.

24 hours before

  • Good for: most salons. It's close enough to the appointment that it's front of mind, and early enough that a cancellation gives you a day to rebook the slot.
  • Trade-off: a client can still forget between the reminder and the appointment.

48 hours before

  • Good for: long or high-value appointments such as colour, treatments or bridal, where a last-minute gap costs the most.
  • Trade-off: it's further from the day, so it works best for clients who plan ahead.

Not sure? Start with 24 hours before, then look at your no-shows for a few weeks before changing it.

What the reminder says

The reminder gives the client everything they need at a glance: the service, the time, the stylist and the booking's status. It ends with one clear line: "Reply to this message to reschedule or cancel."

The reply is the point

A reminder only tells the client about the appointment. The reply is what saves the slot. When a client writes back "Can I come at 5 instead?", niia checks what's free, moves the booking and confirms, all in the same chat. If they cancel, the time goes back on your books straight away instead of sitting empty.

There are no buttons to tap. Clients just type, the way they would to a receptionist.

A second reminder, closer to the time

The Starter plan includes one reminder per booking. Plans with two reminders also send a short "see you soon" message about two hours before the appointment.

Track what happens

  • After each appointment, mark the booking Completed or No-show on the Bookings page.
  • Your daily email report, sent at closing time, counts that day's cancellations and no-shows.
  • If you change the reminder timing, compare a few weeks before and after.

Make your policy easy to find

If you have a cancellation policy, add it to Additional Notes on the Agent Config page. Then when a client asks what happens if they cancel late, niia can tell them, and you don't have to.

Each reminder uses 5 credits from your plan's shared credit pool.
